Receive Money Transaction

When a consumer comes in to pick up a Western Union Money Transfer® , this is referred to as a receive money transaction.

To complete the Receive Money Transaction:

  1. Have the consumer fill out the yellow “To receive money” form.
  2. Accept the completed yellow “To receive money” form from the consumer and verify the following:
    • The receiver has completed the consumer portion of the yellow “To receive money” form.

    • The amount the receiver is expecting.  If you are unable to cash any portion of the money transfer, the consumer should be advised of the fact as he/she may decide to go to another Western Union Agent location to ensure that cash is obtained.

    • The receiver has unexpired, government-issued photo identification or has completed the test question/answer portion of the form (only available for transactions under $1,000).

  3. From the Main Menu, click the Receive Money button or press the F6 key.

The Receive Money Menu screen appears.

  1. The Tracking Control screen will appear.

  1. From the Receive Money Menu, click the Regular Receive Money button or press the F5 key.

Note: Depending on your configuration the Currency Selection, the Agent Information or the Western Union Card dialog boxes may appear before the Receive Money screen.

  1. Type information into one or more of the following text areas:
  • MTCN Number

  • Sender Telephone Number

  • Receiver

  • Sender

  1. Select one of the following:

  • Click the Search (Enter) button or press the Enter key to begin the search.

  • Click the Back to Recv (Esc) button or press the Esc key return to the Receive Money Menu.

When no match is found, advise the payee the money transfer does not appear in the system.  The consumer should contact the sender and confirm that the money transfer was sent.

When the money transfer is found, but multiple names exist, the RECEIVE MONEY – Transaction Selection List appears.

Note:  If there is a test question, the Test Question tab will automatically appear. Read the test question to the consumer and type his/her response in the Answer field and then click on the OK button.  If they responded correctly, continue with the payout instructions.  If they answered incorrectly, then do not continue processing the payout.

The following table describes each column in the RECEIVE MONEY – Transaction Selection List.

NO

Item number on the list.  Displays 10 records. When more exist, either use the Page Up and Page Down keys, or the arrow keys to scroll one transaction at a time.  You can also scroll by clicking the scroll bar to the right of the list.

Receiver Name

Displays the receiver’s name that most closely matches the criteria entered.

Sender Name

Displays the sender’s name that most closely matches the criteria entered.

Date Sent

Displays the date the transaction was sent.

Currency

Displays currency code of the transaction.

Amount

Displays the amount of the transaction to be paid in the designated currency.

Note: When the money transfer is found, and multiple names do not exist, the 2. Transaction Details tab appears.

  1. Do one of the following:

  • Select the transaction from the list, or type the selection number in the Select No: box, then click the Select (Enter) button or press the Enter key to continue.

  • Click the Cancel (Esc) button or press the Esc key to return to the Search tab.
    The 2. Transaction Details tab appears.

The following table describes each screen element in the 2. Transaction Details tab.

Receiver

Receiver Name

Some transactions require additional information based on the amount of the transaction.  If additional receiver information is requested, the Sender / Receiver Information dialog box displays with the required fields.

If the receiver’s Id was recorded previously in the system (GEN III) the information will be automatically populated, if not a new record with the customers information will be created for future transactions.

Expected Payout Location

City/Locale, Country where the transfer is to be paid out.

Sender

Sender Name, City/Locale, and Country

Originating Agent Information

City/Locale, Country of the originating Agent, and Sent Date/Time transfer sent.

Check Information

Payout information

  • Check Number

  • Cash (whether or not the payout is cash)

  • Amount (of payout)

Financial Summary

Information related to the payout amount.  Information is filled in automatically and is not editable.

Note: Depending on what is configured in the Agent Configuration utility, some services may not be enabled.

These are the Additional Services available:

Note: The Receiver Name, Sender Name, Expected Payout Location, and Originating Agent Information, as well as the Financial Summary are automatically filled in from the Receiver List.

To complete the 2. Transaction Details tab

  1. Complete the following in the Check Information section.

  • Type the Check # (numerics only).

  • From the Cash drop-down list, click the Yes button or the No button to indicate whether or not you will be cashing the check.

  • Type the payout Amount.

Review the Additional Services area on the screen to see if there is a message from the sender. If so, there will be a check mark in front of the Message (Alt-E) button.

Return to the 1. Search tab.

When selected, a dialog box appears asking if you want to leave without paying.

  • Click the Yes button to return to the Search tab.

  • Click the  No button to remain in the 2. Transaction Details tab.

Return to the Main Menu.

A message box will appear asking if you want to cancel the transaction.  Select one of the following options:

  • Cancel this transaction and return to the Main Menu.  Click the OK (Enter) button.

  • Change to another Western Union Product.  From the drop-down list, select the product from the list.  Click the OK (Enter) button.  The dialog box for the specific product appears.

Return to the transaction list.

When selected, a confirmation message dialog box appears asking if you want to leave without paying.

  • Click the Yes button to return to the RECEIVE MONEY-Transaction Selection List.

  • Click the No button to remain in the 2. Transaction Details tab.

Displays the 3. Finish tab.

When selected, a message box appears asking if you want to submit this transaction.

  • Click the Yes button to display the 3. Finish tab.

  • Click the No button to remain in the 2. Transaction Details tab.

Note: When additional information is required, the Sender / Receiver Information dialog box appears.

Type the information, then select:

Cancel (Esc) to return to the 2. Transaction Details tab.

OK (Enter) to continue
The 3. Finish tab appears.

The following table lists each of the five Agent configurations, displays received, and steps to take. (Agent Configurations are made in the Agent Configuration Utility.)

  1. Type the Check / Receipt Number, then click the OK (Enter) button.
    The Print Instructions dialog box appears with directions for printing the receipt.
  1. Click the OK (Enter) button.
    The automated receipt prints and the Finish tab appears.

Note: If the receipt does not print, complete the gray-shaded section of the yellow “To receive money” form.  For instructions, click Agent Send Money Form Instructions.

  1. Follow the instructions on the Print Instructions dialog box, then click the Done (Enter) button on the Finish tab.
  2. The payout confirmation screen appears.

7. Then click the Done (Enter) button and the Main Menu will appear.

Troubleshooting

Try the following when experiencing difficulty finding the Receive Money transaction.

  • Type the nickname of the payee or sender.
  • Use a title for the Payee’s first name.
  • Try a “sounds like” variation of the last name (e.g. Beach, Peach, Deach).
  • Use variations of the spelling (e.g.  Johnson, Johnsen, etc.).
  • Ask if there was a joint payee name, if so, use it for the search.
