Checkless

Sending funds using the Western Union Money Transfer® Checkless service is easy!

Here’s how it works:

• Day Zero: Day of the transaction.

• Day One: The Agent deposits all funds due for Send transactions from the prior day into the Money Transfer Trust Account. The initiation of the debit and credit ACH occurs.

• Day Two: The following day, Western Union electronically debits the Agent’s 1st bank account (“Trust Account”) for all send transactions and credits for all payouts to a separate, 2nd bank account. The debit and credits post.

NOTE: The debit and credit accounts must remain separate as the funds “In Trust” represent consumer funds owed to Western Union.

To Send an Checkless transaction:

  1. From the Main Menu, click the Send Money button button or press the F5 key.

The Express Services Screen appears.

  1. From the Express Services Screen, do one of the following:

  • Choose the type of search and enter the information. Press Enter or Click the Search Button to get the results.

  • Note: If the customer does not have an account number and does not want to enroll, select Cancel (Esc).  For enrollment with or without a transaction, please see the instructions for Western Union Card Enrollment.

The Send Money Menu appears.

  1. From the Send Money Menu, click the Money Transfer Button button or press the F5 key.

The following table describes each field in the 2. Transaction Details tab.

Financial Information

Amount being sent and type of currency.

Using the information from the “Send” form, complete the following fields.

Send Amount -Type the dollar amount (maximum 10 numeric characters).

If any invalid characters are typed in the Send Amount field, a message appears advising you an invalid amount has been entered into the Send Amount field.  Please check the amount and re-enter.

State: Receiver’s state.

Receiver Information:

 • First/Last (default) – then type first and last name of person (maximum 39 alphanumeric characters)

 • Business – then type name of company and attention (maximum 39 alphanumeric characters each)

 • Paternal/Maternal – then type first, paternal, and maternal names (maximum 39 alphanumeric characters each)

Sender Related Information.  If a Western Union Gold Card or Preferred Customer Card number was used, this information is automatically filled in.

When a service is selected or information is entered, an indicator displays in the group box identifying a particular service has been selected (e.g. a Test Question was entered, Test Question included displays in the Additional Services group.

Once above information is added, the financial summary is adjusted

  1. Type the information in the 2. Transaction Details tab of the Send Money Screen.
  2. Refer to the Collect Amount field on the right-hand side of the screen.  This is the total amount the consumer owes including any fees.
  3. Collect the funds from the consumer and place the money collected in a secure area.
  4. Select one of the following:

  • Cancel this transaction and return to the Main Menu.  Click the OK (Enter).

  • Change to another Western Union Product. From the drop-down list, select the product. Select Ok (Enter). The dialog box for the specific product appears.

  1. Depending on what is configured in the Agent Configuration Utility, the following appears:

  • Click the Yes button to submit the transaction or the No button to cancel.
  1. Depending on your configuration, a dialog box will automatically appear with a fraud warning. Review the fraud warning and then type the amount collected in the Enter the total amount collected field.

  1. Click the OK (Enter) button to submit or the Cancel (Esc) button to cancel.

  2. A Customer and Agent receipt automatically prints. If you need to re-print the Customer Receipt, press ALT-U.  To re-print the Agent Receipt, press ALT-A.  Both the consumer and the Agent must sign both receipts.

  1. The 3. Finish tab appears. Click the Done (Enter) button to return to the Main Menu. The Main Menu appears.

To complete the Checkless Receive Money Transaction:

  1.  Have the consumer fill out the yellow “To receive money” form.

Notes: A check will no longer be printed, instead, a receipt will be printed and the consumer must be paid out in cash.

  1. Accept the completed yellow “To receive money” form from the consumer and verify the following:
  • The receiver has completed the consumer portion of the yellow “To receive money” form.
  • The amount the receiver is expecting.
  • If you are unable to payout any portion of the money transfer in cash, the consumer should be advised of this and directed to an alternate Agent location.

Note: To locate an alternate Agent location: Refer to the Tools menu on the main screen. Click on the Tools/Admin Menu 2 of 2 button and then click on the Agent Locator (F9) button. Use this to find another Agent location that can perform the payout, and refer the consumer to that location.

  •  The receiver has unexpired, government-issued photo identification or has completed the test question/answer portion of the form (only available for transactions under $1,000).
  1. From the Main Menu, click the Receive Money button or press the F6 key.

  1. From the Receive Money Menu, click the Regular Receive Money  button or press the F5 key.

  1.  Type information into one or more of the following text areas:
    •  MTCN Number
    •  Sender Telephone Number
    •  Receiver
    •  Sender
  1. Select one of the following:
    •  Click the Search (Enter) button or press the Enter key to begin the search.
    •  Click the Back to Recv (Esc) button or press the Esc key return to the Receive Money Menu.
    •  When no match is found, advise the payee the money transfer does not appear in the system.  The consumer should contact the sender and confirm that the money transfer was sent.    When the money transfer is found, but multiple names exist, the RECEIVE MONEY – Transaction Selection List appears.
  1.  If the receiver does not have any identification and the sender included a Test Question (available for transactions under $1,000), a pop-up box automatically populates with the Test Question.  Ask the receiver for the answer to the Test Question, type it in the Answer field and then click the OK(Enter) button.
    • When a test question has been established, the Agent employee MUST obtain the answer to the question regardless of whether the recipient actually presents identification.
    • If a receiver fails to provide the correct answer to a test question, DO NOT pay the transaction. Instruct the receiver to contact the sender for the correct answer or to remove the test question.
    • Another Test Question Validation pop-up box will populate asking for a comparison between the answer entered and the answer provided by the sender.
  1. Verify that the information from the yellow “To receive money” form matches the information displayed on the screen.

Note: A check will no longer be printed, instead, a receipt will be printed and the consumer will be paid out in cash. IF you do not have sufficient funds at your Agent location to complete a payout transaction, refer to the Tools menu on the main screen. Click on the Tools/Admin Menu 2 of 2 button and then click on the Agent Locator (F9) button. Use this to find another Agent location that can perform the payout, and refer the consumer to that location.

  1. In the Payout Info field, type in the amount that will be paid out to the consumer in the Cash Amount Agent Paying to Customer field. Click the Submit (Enter) button.
  1. A message pop-up box asking “Are you sure you want to submit this transaction?” will appear.
  • Click the Yes button to submit or the No button to cancel.
  • If a Test Question had been used, a pop-up box would appear saying, “Pay without ID on test question.” Press the Tab key to move from field to field and enter the required information.

  1. The final screen appears indicating that you have performed a successful payout transaction. At this time, a customer and Agent receipt is automatically printed. Both the consumer and the Agent must sign both receipts before providing the consumer with any payout funds. Once both signatures have been completed, the Agent should then staple the consumer receipt to the receive form and provide that along with the payout funds in cash to the consumer.

Troubleshooting

Try the following when experiencing difficulty finding the Receive Money transaction.

  • Type the nickname of the payee or sender.

  • Use a title for the Payee’s first name.

  • Try a “sounds like” variation of the last name (e.g. Beach, Peach, Deach).

  • Use variations of the spelling (e.g.  Johnson, Johnsen, etc.).

  • Ask if there was a joint payee name, if so, use it for the search.
